Notes
The Notes workspace is built for speed. Capture quick thoughts, reminders, lists, and anything that does not fit neatly into another workspace. Notes are lightweight, color-coded, and pinnable.
Think of Notes as your digital sticky notes. They are fast to create, easy to scan, and stay out of the way of your longer-form writing.
Purpose
Notes are the catch-all workspace for short, practical entries:
- Quick thoughts — A sentence or two that you want to remember
- Reminders — Things to do, calls to make, errands to run
- Lists — Shopping lists, packing lists, reading lists
- Temporary captures — Information you need for a short time
- Miscellaneous — Anything that does not belong in another workspace
Metadata
Notes have two unique metadata fields beyond the shared fields (title, content, tags, people, date):
Color
Assign a color to visually categorize your notes. Seven options are available:

| Red | Urgent or high-priority |

These are suggestions — use colors however they make sense to you. The important thing is consistency so you can scan your notes at a glance.
Pinned Status
Toggle the pin to keep a note at the top of your Notes workspace page. Pinned notes stay visible regardless of date sorting.
Use pinning for:
- Notes you reference daily
- Active to-do lists
- Reminders that should not scroll away
Color and pinning work together. A pinned red note at the top of your list is impossible to miss — perfect for urgent reminders.
Creating a Note
Open the Write Page
Navigate to /write or press Ctrl/Cmd + W.
Select “Note” Type
Use the entry type dropdown and choose Note.
You can also go directly to /write?type=note.
Choose a Color (Optional)
Pick a color from the color selector. Defaults to gray if unset.
Toggle Pin (Optional)
Click the pin toggle if you want this note to stay at the top of your Notes page.
Write Your Note
Keep it short and actionable.

The Notes Workspace Page
Navigate to Notes in the sidebar or go to /notes to view all your note entries.
What You See
- Pinned notes at the top — Always visible, separated from the rest
- Color indicators on each note card matching your chosen color
- Content preview showing the note text
- Tags and people visible at a glance
- Star indicator on starred notes

Tips for Effective Note-Taking
1. Keep Notes Short
If a note is growing past a few paragraphs, it probably belongs in a different workspace. Notes should be quick to write and quick to read.
2. Use Colors Consistently
Pick a color system and stick with it. When every yellow note is a reminder and every blue note is work-related, you can scan your workspace in seconds.
3. Pin Sparingly
If everything is pinned, nothing is prioritized. Keep your pinned notes to three or four active items at most.
4. Clean Up Regularly
Notes are meant to be temporary. Once a reminder is done or information is no longer needed, delete the note or unpin it. A clean Notes workspace is a useful one.
5. Use Bulleted Mode
Most notes are natural lists. Toggle bulleted mode for a clean, structured format.
6. Tag for Context
Even quick notes benefit from a tag or two. #errand, #work, #reference help you find notes later if you need them.
Notes are not designed for sensitive information like passwords or financial data. While Reflecto secures your data with authentication, consider using a dedicated password manager for credentials.

The distinction is simple: Notes are practical. Journal entries are reflective.
Notes vs. Ideas
Notes and Ideas can overlap when you jot down a quick thought. Here is how to decide:
- If the thought is something you want to develop and track over time, use Ideas
- If the thought is something you want to capture and forget about, use Notes
When in doubt, start with a Note. You can always create an Idea entry later if the thought deserves more attention.
The best note-taking system is the one you actually use. Keep it simple, keep it fast, and clean up as you go.
